I am Pamela Smith, a registered sole trader providing freelance proofreading and copyediting services to a variety of clients under the business name ‘psproofreading’. I am based in Belfast, Northern Ireland.
This privacy policy outlines how I protect and use the personal information you give me, in compliance with the General Data Protection Regulation that came into force on 25 May 2018.
The information I collect from you, and why I need it
I need your first name, surname and email address so that I can do business with you. I also need some details about your project (and sometimes a sample of the project) to give you a quote for work that you might want me to do.
If you decide to work with me, I also need the text that I will be proofreading or copyediting for you, and your postal address, which will be used on my invoices to you as required by HMRC (the UK tax authority).
How I use your information
I use your email address to communicate with you; I may also use it to send you edited files. I use your postal address on my invoices.
I only use your information for the purpose for which you gave it to me. I do not keep marketing lists or a client database. I do not share your information with anyone unless I am required to do so by law.
I will not subcontract work without your written permission. If I am unavailable to work with you, I may suggest other editors or proofreaders for you to contact, in which case I may tell them that you might contact them. If so, I will give them your name and only those details of your project that you wish me to include.
With your written permission, I may include your name and the name of your project in a published testimonial. This may be on my website, in professional listings (such as directories of editorial professionals) or on my CV.
How long I keep your information
I am required by HMRC to keep records of my business transactions for at least 6 years after the 31 January submission deadline of the relevant tax year.
If, after this time, you want me to delete or amend your information, please contact me and I will do so immediately, as long as I am complying with the law.
Your rights
It is your right to know what information I hold about you and/or to request a copy of that information. All such requests will be dealt with promptly.
Security and confidentiality
I keep the nature and content of your work confidential, and I do not share it with anyone without your permission. The security of your documents and your personal information is important to me, and I take all reasonable steps to protect it.
Your name and email address are stored on my computers and phone. I do not store them in any other address book or filing system.
Your project files and postal address are stored in my cloud-based file management system (iCloud).
My accounts are protected by strong passwords, I use different passwords for different devices, and my computers use up-to-date editing and anti-virus software. I back up my files to a separate hard drive on a weekly (minimum) basis.
I erase all information from all old devices, and shred all paper documents before I dispose of them.
I have an online presence on Facebook, Twitter and LinkedIn. My use of these platforms is covered by the privacy and security policies of those companies. I do not collect any personal information from my social media activity.
